We are currently recruiting for a Full-Time Accounts Assistant to join our growing team here at Kilkea Castle.

Job Description:    

As an Accounts Assistant, your role will be key within the hotel’s finance function, supporting multiple entries, and working closely with the Resort Accountant and Finance Manager. You will gain a broad exposure across all areas of finance, from daily transactional tasks to monthly and annual reporting and strategic projects.

Key Responsibilities

Payroll & Employee Support

  • Prepare and process weekly payroll, ensuring accuracy and compliance with statutory requirements.
  • Maintain payroll records including timesheets, attendance reports, holiday pay, and deductions.
  • Liaise with HR for new starters, leavers, and employee queries.

Payables & Supplier Management

  • Process supplier invoices, perform 3-way matching, and resolve invoice discrepancies.
  • Set up and manage weekly payment runs and remittances.
  • Maintain accurate supplier account reconciliations and follow up on outstanding items.
  • Build strong relationships with suppliers and internal teams for smooth query resolution.

Financial Operations & Reporting

  • Complete the daily hotel income audit and reconcile revenue streams across departments.
  • Maintain and update the Fixed Asset Register for multiple companies.
  • Assist with preparation of the weekly revenue and cost forecast.
  • Support the preparation of monthly management accounts, including:
    • journal entries
    • accruals & prepayments
    • balance sheet reconciliations
    • variance analysis vs budget/forecast
  • Ensure timely processing of VAT & P30 returns and other statutory submissions.
  • Assist in the preparation of annual budgets and year-end processes.
  • Support external auditors during the annual audit.

Systems, Controls & Process Improvement

  • Ensure financial processes follow internal controls and audit requirements.
  • Help maintain and develop finance procedures, workflows, and documentation.
  • Support the implementation of new finance systems or upgrades where needed.
  • Participate in cross-departmental projects to improve efficiencies and reporting accuracy.

Cross-Functional Collaboration

  • Work closely with Operations, HR, Management, and department heads to provide accurate and timely reporting.
  • Assist in ad hoc analysis, financial insight, or data requests to support operational and strategic decision-making

Skills/Requirements

  • Qualified or Part‑Qualified Accountant (ACA/ACCA/CIMA) or equivalent relevant experience.
  • Strong working knowledge of Sage50 or similar accounting software.
  • Proficiency in Microsoft Excel (VLOOKUPs, pivot tables, formulas, data analysis).
  • Strong numerical, analytical, and problem‑solving skills.
  • Excellent attention to detail and accuracy in all work.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Team player with a positive attitude and willingness to learn.
  • Minimum 12 months’ valid work permit.
